Find duplicate transactions in QuickBooks using the bank statement
Most duplicates start with two routes into the books: a bank feed adds a payment that someone already entered by hand. Sorting the register by amount finds the obvious ones, but it cannot tell a real repeat, such as two identical rent payments, from a double entry.
The statement settles it. If the bank shows one payment and the books show two, one of them is wrong. If the bank shows two, both are real.
The check
- Export the bank account's register for the period.
- Add it to Tickproof with the matching statements.
- Open Possible duplicates. Each line repeats a book entry that already matched the bank.
Before you delete anything
Look at which copy was reconciled and which one is linked to an invoice or bill. Delete the unlinked copy, and if the period is closed, check with the accountant first.
